We sort papers into categories, not individual decisions
Paper feels overwhelming because each piece seems to need its own decision. We speed the process up by sorting into broad categories first: action items, household, financial, medical, vehicles, home and property, kids and school, and reference. You review each category once, which is much faster than handling piece by piece.
Junk mail, outdated catalogs and duplicate statements usually make up a large share of any pile, and they go quickly into recycling or shredding once you approve.
A simple system you can keep up
The best paper system is the one you will actually use. We usually set up three parts: an inbox for incoming mail, an action file for things that need attention, and a reference file for documents you keep. Each is labeled and lives near where you open mail.
- Inbox tray at the drop zone or office for all incoming mail
- Action file with folders such as to pay, to call, to schedule and to file
- Reference file with hanging folders by category
- Archive box for records you need to keep but rarely open
- A labeled box or bag for items to shred
Important documents need a protected home
Birth certificates, passports, property records, insurance policies, wills and similar documents should be kept together, protected and easy to grab in an emergency. We gather them into a single labeled folder or document box, often stored in a fire-resistant safe or a location you choose.
Las Vegas heat is a factor here too. Paper, photographs and documents should not be stored in a hot garage or attic, where heat and dust can damage them. We move file boxes indoors to a closet or office. For guidance on what to keep and for how long, consult your tax professional or attorney; our role is organizing, not legal or financial advice. Our guide to organizing important documents explains the categories in detail.

Las Vegas households have some specific paper
Many families here have recently relocated from California or elsewhere, so we often see moving paperwork, out-of-state vehicle records and old utility accounts mixed with new ones. HOA notices, solar and pool service contracts, and home warranty papers for new-construction homes are common too. We sort those into the right home and property folders.
For military families at Nellis AFB, orders and relocation documents get their own clearly labeled section, so they are easy to find for the next move. Second-home owners and part-time residents often benefit from a simple system that works when they are away, with a trusted person picking up mail.
Paper projects pair well with a home office
Most paper projects are part of a home office, kitchen command center or desk setup. Our home office organization service covers the full workspace, and our guide to decluttering paper clutter is helpful if you want to start on your own. A large backlog spread across the house is often a full day around $1,200.
