Map the office into zones
Small offices get cluttered when every space does every job. Walk the room and assign zones: individual desks, a printer and mail station, supply storage, a meeting or call area and long-term storage.
Keep shared equipment in one place, ideally near the center of the room. A printer station with paper, toner and a recycling bin in one spot saves steps for everyone. Cords should run along walls or under desks in a cable tray, and the center of the room should stay clear enough for two people to pass with a box.
| Zone | What lives there |
|---|---|
| Desks | Computer, active work, personal items |
| Printer and mail | Printer, paper, toner, mail sorting, shredder |
| Supplies | Labeled bins with par levels |
| Meeting or call area | Clear table, whiteboard, chargers |
| Storage | Files, archives, seasonal items |
Set simple desk rules
Each person should have a defined desk area with the tools they use daily: a monitor, a notepad, pens and a tray for active work. Personal items are fine, but keep them contained so desks stay usable.
A clear-desk policy at the end of each day, or at least each week, keeps paper from piling up. The desk organizing guide offers more detail.
Move paper to shared systems
Paper files take up space and get lost in small offices. Move what you can to shared digital storage with clear folder names. For paper you must keep, use a shared filing cabinet with simple categories.
Set a routine for scanning, filing and shredding so paper does not build up. Keep sensitive documents in a locked cabinet. Agree on folder names as a team before anyone starts moving files, because a shared drive with five naming styles is just as hard to search as a cluttered drawer.

Keep supplies in one place
Supplies scattered across desks lead to overbuying and running out. Store them in one closet or cabinet, grouped by category with clear labels.
Set par levels so you know when to reorder. The office supply room guide and the par levels guide cover the details.
- Paper and printer supplies
- Writing tools and desk accessories
- Mailing and shipping
- Breakroom and cleaning
Run a weekly office reset
A short reset at the end of each week keeps a small office functional. Clear desks, file paper, tidy the supply area, restock the printer and empty the recycling.
In Las Vegas, fine dust settles on open shelves and electronics quickly, so add a quick wipe of shared surfaces to the routine. Rotate the reset among team members so the load is shared. Fifteen minutes on Friday afternoon is usually enough for a team of five to ten people. Our office organization service can set up zones and routines for your team.
